Booking Terms and Conditions 2025
Please read these terms and conditions carefully before booking a programme, course, session, or activity or hiring the venue at Broomley Grange. Once a booking has been accepted and a deposit received, a binding contract will be entered based on these terms and conditions, the risk assessment summary, and Broomley Grange’s Code of Conduct. If you (the ‘Client’) have any questions about our terms and conditions, please get in touch with us. Broomley Grange (‘we’, ‘us’, or ‘Broomly’) reserves the right to refuse a booking without the need to give reasons. In such circumstances, no agreement arises, and Broomley Grange will return any payment accompanying the booking. The agreement is governed by English law.
1. Booking and Payment
Bookings must be made by an authorised representative of the Client who has received (where applicable) financial approval to cover the booking cost. The Client or Client’s authorised representative is responsible for accurately completing any booking information and adhering to all aspects of these terms and conditions (this ‘Agreement’). A booking will be considered confirmed when the appropriate payment has been received. This payment will be accepted as confirmation of a contractual agreement between Broomley Grange and the Client. Broomley Grange may cancel any reservation not confirmed within 14 days without further reference to you.
Booking forms should be accompanied by a deposit amount stipulated in Clause 2, which Broomley Grange should receive within 90 days of the provisional booking. The deposit will be deducted from the final invoice.
You agree to pay the booking balance at least 30 days before the visit or within the booking timeframe if the visit is scheduled sooner unless the centre manager has agreed to the payment extension in writing.
2. Deposits
Deposits may be made by bank transfer, cheque, or card. For registered companies and government bodies, an arrangement may be made for a purchase order to be used as acceptance of the fees and terms.
A deposit of 25% or £300.00 (whichever is greater) based on the total value of the agreed booking will be required to secure the booking, of which £300 is non-refundable. If the total value of the booking is less than £300, the total amount is payable. No booking is secure without a deposit. Once you have booked and paid the deposit, we will issue a Confirmation of Booking within seven days, and a contract will then exist between you and us.
You may cancel your booking at any time by written notice to us at Broomley Grange, effective when we receive it. To cover our expected losses, the set scale of charges below applies:
a.Less than 60 but more than 42 days before the scheduled date of your visit: 50% of the booking charge may be charged.
b.Less than 41 days but more than 32 days before the scheduled date of your visit: 70% of the booking charge may be charged.
c.31 days or less before the scheduled date of your visit: 100% of the booking charge may be charged.
3. Price
Any quotations drawn up by Broomley Grange on a per-head basis will prescribe a minimum number of attendees stated in Clause 5 and 23. Broomley Grange will not give any refund if numbers fall below this minimum and will charge the specified per-head fee for additional persons attending. Once you have booked, we will not change the agreed price of your booking or subject you to any surcharge provided you meet the payment schedule unless there is an error in the invoice or government action requires us to do so.
4. Additional Charges
Broomley Grange may impose additional charges at its absolute discretion during or following any visit for loss or damage to site equipment, any malicious damage caused during the visit, and any extra cleaning charges, which you must pay.
5. Exclusive Use
Groups numbering 50 and over, or paying the equivalent, will have exclusive residential use of the Grange during their stay. Groups of under 30 may have to share the house with other groups of a similar age range. Management reserves the right to designate restrictions on the use of rooms and facilities. Notification of shared used would be provided in advance at the time of booking, or alternative dates maybe be provided in the event that shared usage would present any safeguarding concerns or issues.
6. Use of Meeting Rooms and Facilities
Broomley Grange reserves the right to allocate the use of meeting rooms. Please liaise with the manager regarding outdoor activities, as non-residents also use our outdoor facilities.
7. Departure Times
Bedrooms must be vacated by 10:00 AM on the day of departure. The latest departure time is 3:00 PM unless a specific, written agreement has been obtained from management.
8. Supervision and Conduct
Group leaders are responsible for the supervision and good conduct of their children/young people at all times. All damages and breakages to property or equipment belonging to Broomley Grange or within the grounds are the responsibility of the group leaders and will be charged to them. Management will decide on appropriate charges for damages at its discretion.
9. Supervision within Grounds
Group leaders are responsible for ensuring that their group is supervised and stays within the centre's grounds and designated group spaces while on-site. Children and young people are not allowed to wander around the grounds unsupervised unless it is part of an organised activity.
10. Activity Areas
Group leaders are responsible for ensuring that their group does not go into the outdoor activity areas at any time or use any of the activity equipment other than when participating in an instructor-led activity.
11. Bonfires and Campfires
Groups are not allowed to have bonfires or campfires unless they are part of an organised activity led by Broomley Grange instructors, have obtained express permission from management, and have been assigned a designated area to conduct it.
12. Fire Safety
Group leaders are responsible for ensuring that all staff and group members are familiar with the fire evacuation process, fire escape routes, and the fire assembly point.
13. First Aid Coverage
Broomley Grange is not responsible for First Aid coverage other than when participating in an organised instructor-led activity. Groups should bring a qualified and identified First Aider for their young people and staff.
14. Catering
Broomley Grange is not responsible for catering other than when indicated as part of the visit. Groups should bring a qualified and identified cook with a minimum level of level 2 food hygiene for their young people and staff.
15. Insurance
Broomley Grange is not responsible for insuring groups for activities not arranged as part of their paid programme. Groups are expected to arrange appropriate travel, mini-bus, and liability insurance for activities outside of the prescribed programme of use. Broomley Grange will ensure that all appropriate insurances are arranged for the running and operation of the centre and activities.
16. Countryside Code
Groups are asked to observe the Countryside Code (especially regarding litter) and make every effort to maintain good relations within the community.
17. Price Increases
Broomley Grange will do everything possible to maintain prices but cannot be held responsible for increases/taxes that are beyond its control.
18. Schedule of Payments
We require the deposit stated on the invoice to secure your booking. For group bookings, we may require subsequent payments or a schedule of payments (to include the costs of accommodation, activities, and catering), which will be detailed on your invoice and include payment deadlines. The final balance is due not less than 30 days prior to the date of the start of your visit (or at the time of booking, whichever is later). The due date for payment of your final balance is shown on our invoice. No reminder will be sent. If any payment is not received in full by its due date, without prejudice to any other remedies, we may have to recover the debt due, and we reserve the right to cancel the booking. Any bookings made less than 30 days before the date of the start of your visit may be required to be paid in full at the time of booking.
19. Transparency and Communication
Broomley Grange conducts its affairs openly and fairly. If you are uncertain about our offerings, please do not hesitate to ask for clarification.
20. Prevented from Taking Your Booking
If you are prevented from attending your course or residential booking, please contact us as soon as possible. We will do our best to assist. You may not, under any circumstances, transfer your booking to anyone else without our consent.
21. Broomley Grange Alternations
The arrangements detailed in this booking and on our website are given in good faith at the time of issue, but we reserve the right to provide comparable alternative arrangements if operational or other considerations so dictate. No employee of Broomley Grange has the authority verbally to vary these terms and conditions or the information within our website or other Broomley Grange literature or to enter into verbal agreements with clients of Broomley Grange. No variation in these conditions or otherwise in the terms upon which a booking is made and no promise to refund money paid to Broomley Grange shall be valid unless in writing and signed by the Centre Manager, Vice Chair of Trustees, or Chair of Trustees. If we make a significant change to your booking, we will inform you as soon as reasonably practicable. You will have the choice of either accepting the change of arrangements or accepting a voucher for the same amount, which can be redeemed within a given time period.
22. Alterations Requested by You
We will, wherever reasonably practicable, try to arrange any alterations you may request after the contract is formed. Requests must be made in writing to Broomley Grange. Alterations requested more than 30 days in advance of your departure date, such as a change of course date, accommodation, or course, if acceptable, may be subject to an administration charge. Major alterations within 30 days before the commencement of a course or visit may be treated as a cancellation and re-booking.
23. Minimum Numbers
Each outdoor activity requires a minimum number of people to be booked before it can proceed. Usually, this is 12 people. The minimum numbers for accommodation are 20 for the use of Broomley Grange and 8 for the camping field. If the minimum number of guests is not met, or Broomley Grange is unable to meet any booking through circumstances beyond its control, the people booked may be offered another booking at Broomley. If the alternative cannot be accepted, a full refund may be provided.
24. Limitation of Liability
The extent of the parties’ liability under or in connection with any contract to which these terms and conditions apply shall not exceed the sum of £5,000,000. Broomley Grange shall not be liable for consequential, indirect, or special losses, including loss of profit, contract, opportunity, savings, discount, rebate, harm to reputation, or goodwill. The parties' liability shall not be limited in any way in respect of the following: death or personal injury caused by negligence; fraud or fraudulent misrepresentation; any other losses which cannot be excluded or limited by applicable law; or any losses caused by wilful misconduct.
25. Force Majeure
Broomley Grange reserves the right to cancel/curtail your booking due to circumstances amounting to Force Majeure, including but not limited to war, invasion, rebellion, riot, terrorism, civil commotion, disorder, malicious damage, fire, flood, epidemic, pandemic, quarantine restrictions, strikes, lock-outs, failure of utility service, adverse weather conditions, or acts of God, etc. In the event of cancellation due to Force Majeure, Broomley Grange will endeavour to reschedule the booking.
26. Physical Fitness
Participants should be confident in water for any water-based activities. You must advise us on the medical questionnaire provided to you of any illness or medical disability that affects any of them. If any of them suffer from asthma, diabetes, epilepsy, giddy spells, angina or other heart conditions, or any other conditions that may affect their ability to participate fully in it. you are responsible for ensuring that any such participants have checked with their respective doctors before making any booking for them and that they are in a position if required to produce a note from their doctor confirming their ability safely to participate in the course.
27. Safety
By using our services you accept for yourself and as agents for the participants, and for the parents or guardians of any participants who under the age of 18 years, booked by you on the course that, by their nature, adventure activities may involve some level of risk which cannot be fully eliminated. You agree, for yourself and as agent as aforesaid, that such participants may take part in any course on which you have booked them. To help with safety all participants are expected to behave in a responsible manner and at all times must take direction from a member of Broomley Grange Staff and follow all instructions or guidance given and you are responsible for ensuring that participants booked on a course by you do so. To manage the risks so far as we are able, Broomley Grange has a ‘safe system of work’.
28. Changes to these Conditions
Broomley Grange reserves the right to change the terms and conditions at any time, without notice. Any questions, comments and requests regarding the terms and conditions are welcome; please feel free to contact us via [email protected] or by calling our main office on 01661 842 299.
